Our Community Values
KTM EduTech is built on principles of collaboration, respect, and educational excellence. All users — whether Platform Admins, Institution Admins, Institution Teachers, or Independent Teachers — are expected to contribute to a professional and supportive environment where high-quality education thrives.
User Roles & Responsibilities
Each user type has distinct responsibilities on the platform:
- Platform Admins — Oversee the entire platform. Approve or reject institution admin registrations. Manage all users, institutions, roles, and permissions. Responsible for maintaining platform integrity.
- Institution Admins — Manage their institution's teachers, branding, and settings. Approve or reject institution teacher accounts. Assign roles and monitor activity within their institution. Should not approve accounts without proper verification.
- Institution Teachers — Create and manage curriculum content within their account. Collaborate with peers via sharing controls. Must wait for institution admin approval before accessing full platform features.
- Independent Teachers — Register via the teacher onboarding flow. Access is granted automatically after profile completion. Responsible for their own content and community contributions.
Onboarding & Approval Process
Understanding how accounts are activated:
- Independent Teachers: Complete the onboarding form → Profile created → Access granted automatically.
- Institution Admins: Submit institution registration → Enters the pending approval queue → Platform Admin reviews → Approved or Rejected.
- Institution Teachers: Invited by institution admin or submitted via onboarding → Enters institution pending queue → Institution Admin approves or rejects.
- Users in pending or rejected status cannot access curriculum or content features until approved.
- Suspended users lose access temporarily; their content and data remain intact.
- Removed users are unlinked from their institution but retain their account and personal content.
Content Publishing Workflow
Content on the platform progresses through defined states. Understanding these helps you manage your curriculum effectively:
- Draft: The default state. Content is fully editable by the creator and any collaborators with edit access. Not visible to others unless explicitly shared.
- Published: Content is locked and cannot be edited. It is visible to the creator and explicitly shared collaborators. Publishing signals that the content is finalised and ready for use.
- Archived: Content is retired and removed from active views. Data is retained but not shown in lists or searches. Use this for outdated or superseded materials.
- Community-Shared: Any draft or published item can be flagged as community-shared, making it visible to all registered users in the Community Library. Use this to contribute to the broader educator community.
Best practice: Keep content in draft while actively developing it. Publish only when finalised. Archive rather than delete when retiring materials, to preserve historical records.
Responsible AI Tool Usage
The platform includes AI tools for generating course structures, lesson plans, assessments, quiz questions, learning path recommendations, and resource suggestions. To use these responsibly:
- Always review and edit AI-generated content before publishing or sharing it with students.
- AI suggestions are a starting point — they may contain inaccuracies, outdated information, or content not aligned with your specific curriculum standards.
- Do not publish AI-generated assessments without human review of questions, answers, and explanations.
- Ensure AI-generated content is age-appropriate, culturally sensitive, and pedagogically sound for your context.
- Your prompts and content context are submitted to third-party AI services; avoid including sensitive personal data in AI generation requests.
Resource Library Guidelines
The Resource Library supports PDFs, DOCX, PPTX, images, videos, external links, HTML, and SCORM packages. When using the Resource Library:
- Upload only files you own or hold a valid licence to distribute.
- Resources can be linked to one or more lessons. Unlinking a resource from a lesson does not delete the resource.
- Resources support version control — use the version history feature to track changes and roll back if needed. Always leave a meaningful change note when updating a resource.
- Private resources are visible only to you. Community-shared resources are visible to all platform users. Institution-wide resources are visible to all members of your institution.
- Only the original creator or a Platform Admin can modify or delete a community-shared resource.
Collaboration & Sharing
When collaborating on curricula, courses, and lessons:
- Grant the minimum access level required — use View for read-only, Edit for modifications, and Manage only for trusted collaborators who need to add or remove others.
- Respect the access level you have been granted — do not attempt to circumvent permission restrictions.
- Communicate with collaborators before making significant structural changes to shared content.
- Institution-wide sharing makes content visible to all members of your institution — use this intentionally.
- Give proper credit to all contributors when publishing or sharing externally.
Learning Paths
Learning Paths are ordered sequences of lessons assigned to specific students. Guidelines for use:
- Create learning paths for differentiated instruction — remediation, enrichment, or specific student goals.
- Assign paths to individual students by email. The assigned student can view their own path and mark lessons as complete.
- Paths can be shared with the community library to allow other educators to reuse or adapt them.
- AI-generated learning path recommendations are based on student progress data and should be reviewed by the instructor before assignment.
- Paths exist in active, paused, or completed states — update the status as students progress.
Content Standards
All content created or shared on the platform must be:
- Accurate, educationally sound, and appropriate for the target year level
- Respectful of cultural diversity and inclusive of different learner backgrounds
- Written in professional language appropriate for an educational setting
- Free from plagiarism — properly cite sources and give attribution where required
- Compliant with applicable copyright and content licensing requirements
Prohibited Behaviour
- Sharing inappropriate, offensive, or harmful content
- Plagiarising or misrepresenting others' work
- Harassing, bullying, or discriminating against any user
- Attempting to access unauthorised areas, accounts, or data
- Distributing spam, malware, or malicious code
- Using automated systems to scrape or extract platform data
- Misrepresenting your identity, role, or institutional affiliation
Reporting Issues
If you encounter content or behaviour that violates these guidelines, report it to your institution admin or platform administrator. All reports are taken seriously and investigated promptly. For urgent issues, contact a Platform Admin directly.
Consequences of Violations
Violations may result in a formal warning, temporary suspension, removal from an institution, or permanent deletion from the platform — depending on the severity and frequency of the violation. Platform Admins and Institution Admins are empowered to take immediate action where necessary to protect the community.
