1. Acceptance of Terms
By accessing or using KTM EduTech, you agree to be bound by these Terms and Conditions. If you do not agree, please do not use the platform. These terms apply to all user types including Platform Admins, Institution Admins, Institution Teachers, and Independent Teachers.
2. Account Types & Roles
The platform supports the following user types, each with distinct capabilities and responsibilities:
- Platform Admin: Full system access. Manages institutions, approves institution admin registrations, and oversees all platform users and content.
- Institution Admin: Manages a single institution. Can invite teachers, approve or reject institution teacher accounts, assign roles, and manage institution branding and settings.
- Institution Teacher: A teacher affiliated with an institution. Access is granted after approval by the institution admin. Can create and manage curriculum content scoped to their account.
- Independent Teacher: A standalone educator not affiliated with an institution. Account is activated after completing the onboarding profile. No institution approval is required.
3. Onboarding & Approval Workflow
Account activation follows different paths depending on user type:
- Independent Teachers: Complete the onboarding form to create a profile. Access is granted automatically upon profile submission.
- Institution Admins: Submit an institution registration via the Institution Onboarding flow. The registration is reviewed by a Platform Admin. Access is granted only after explicit approval. Registrations may be approved, rejected, or placed in pending status.
- Institution Teachers: Are invited by their institution admin or join via an approved institution. Their profile must be approved by the institution admin before full access is granted.
All accounts begin in a pending state until the appropriate approval action is taken. Rejected accounts cannot access the platform. Suspended accounts are temporarily disabled.
4. User Accounts
You agree to:
- Provide accurate and complete information during registration and onboarding
- Maintain the security of your account credentials
- Notify platform administrators immediately of any unauthorized account access
- Be responsible for all activities performed under your account
- Not share your account with others or impersonate another user
5. Content Ownership & Lifecycle
You retain ownership of curriculum content, courses, lessons, assessments, and resources you create. Content progresses through the following states:
- Draft: Fully editable. Visible only to the creator and explicitly shared collaborators.
- Published: Locked for editing. Visible only to the creator unless community sharing is enabled. A new version must be created to make further edits.
- Archived: Retired content. Not visible in active views but data is retained.
- Community-Shared: When the community sharing flag is enabled on any content item, that item becomes browsable by all registered platform users in the Community Library. Only the original creator or a Platform Admin can modify or remove it.
By uploading or creating content, you grant KTM EduTech a limited, non-exclusive licence to store, display, and deliver your content as necessary to provide platform services.
6. Resources & File Uploads
The Resource Library supports uploads of PDFs, DOCX, PPTX, images, videos, external links, HTML files, and SCORM packages. You agree that:
- You hold the rights or a valid licence to any file you upload
- Uploaded resources may be version-controlled with change logs and rollback capability
- Resources linked to lessons maintain synchronisation; unlinking does not delete the resource
- Community-shared resources are visible to all platform users but can only be modified or deleted by the original creator or a Platform Admin
7. AI-Generated Content
The platform provides AI tools for generating course structures, lesson plans, quizzes, assessments, learning path recommendations, and resource suggestions. You agree that:
- AI-generated content is provided as a starting point only and is not guaranteed to be accurate, complete, or curriculum-compliant
- You are solely responsible for reviewing, editing, and validating all AI-generated content before use with students or publication
- Your prompts and content context are submitted to third-party AI providers to generate responses
- KTM EduTech is not liable for errors, inaccuracies, or harm arising from unreviewed AI-generated content
8. Google Drive & Slides Integration
The platform offers optional integration with Google Drive and Google Slides. By authorising these integrations, you agree that:
- The platform accesses only files it creates on your behalf (
drive.filescope) - No pre-existing files in your Google Drive are accessed or modified
- You may revoke access at any time from your Google account settings; this will disable Drive sync features
- KTM EduTech is not responsible for content stored in third-party services
9. Collaboration & Sharing
Content can be shared with individual users or institution-wide. Sharing access levels are:
- View: Read-only access to the shared content
- Edit: Can modify content but cannot manage collaborators
- Manage: Can add or remove other collaborators
You are responsible for ensuring that sharing permissions are granted appropriately. Institution-wide shares make content visible to all members of your institution.
10. Account States & Termination
User accounts may exist in the following states:
- Pending: Awaiting approval from an institution or platform admin
- Approved: Full access granted
- Rejected: Access denied; the user cannot use the platform
- Suspended: Temporary access removal; data is retained and access can be restored
- Removed: Unlinked from an institution; the account and all personal content remain active
- Deleted (soft-delete): Hidden from UI; data is retained for a limited period before permanent removal
Platform Admins may suspend or terminate any account for violations of these Terms. Institution Admins may suspend or remove institution teachers from their institution.
11. Prohibited Conduct
You agree not to:
- Violate any applicable laws or regulations
- Infringe on the intellectual property rights of others
- Upload malicious code or attempt to compromise system security
- Harass, abuse, or discriminate against other users
- Use automated systems to scrape, extract, or bulk-download platform data
- Misrepresent your identity, role, or institutional affiliation
- Use the platform for purposes unrelated to education or professional development
12. Service Availability
We strive to provide reliable service but do not guarantee uninterrupted access. We reserve the right to modify, suspend, or discontinue any feature or service with reasonable notice where possible.
13. Limitation of Liability
To the fullest extent permitted by law, KTM EduTech shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the platform, including but not limited to losses arising from AI-generated content, integration failures, or data loss resulting from user error.
14. Changes to Terms
We reserve the right to modify these Terms at any time. Where changes are material, we will update the "Last updated" date at the top of this page. Continued use of the platform after changes constitutes acceptance of the updated Terms.
